Delivery & Removal Service

$50 & Up

Every rental order, other than small customer pick-up orders, will include a separate transportation charge that covers item delivery and removal. Some other rental places claim they don’t charge for delivery, but they do – they just roll it into the cost of the rental item so you don’t see it. We believe in being as transparent as possible, and separating out the cost of the rental item and the cost of transportation is one way of being 100% honest with our clients. Plus, it also saves you money! Separating out delivery fees reduces the sales tax you’re charged since tax is only charged on the item’s rental cost, not delivery and removal services.

Delivery and pickup fees are based on our distance traveled to your event location (plus additional factors), and start at $50 for local events that are 5 miles or less from our warehouse. Peak-season transportation fees for events more than 5 miles away are $2.50 per mile x 4 (there and back for delivery, there and back again for pickup). Off-season transportation fees are typically slightly lower.

Late Night & Weekend Service Surcharges

Our delivery folks have families, kids, and other obligations outside of work, and we try to be as respectful as possible of their work-life balance. That means that our standard delivery, installation, and pickup hours mirror the standard business hours of 9:00am-5:00pm, Monday-Friday.

If your event requires late night, time-sensitive, same-day, or weekend service, we can probably accommodate you, but that means we have to pay our staff overtime, and they have to adjust their family’s schedule to accommodate your event. Our various Late Night & Weekend Service Surcharges helps to cover this additional labor cost. Contact us for exact pricing for your event needs.

Table, Chair, & Linen Setup Service

Leave the hard work to us and add table, chair, and/or linen setup service to your order. All rental items (other than tents and accessories attached to tents), will be delivered to you and placed under one of our rented tents (or in a secure, indoor location), including tables, chairs, and linens. Tables and chairs will be delivered folded and stacked, and need to be re-folded and re-stacked again before pickup. Linens will be delivered neatly folded in a bin or hung on hangers, and need to be placed into laundry bags before pickup. Setup and breakdown of these items is not included in our rental fee, but if you would like to add that service, just ask! With out setup service, you don’t need to worry about folding and unfolding tables and chairs, setting tablecloths, or anything else. We’ll take care of all of it.

Equipment Protection Plan

Equipment Protection Plan (EPP)

10% of Rental

A little bit of foresight goes a long way when things start to go sideways. When you rent something, whether it’s a tent, a car, or an apartment, you are always 100% responsible for anything that happens to those items while they’re in your possession. But accidents happen, weather turns bad, and that’s where our EPP comes in.

Our EPP damage waiver is sort of like insurance. If something unexpected or unintentional happens, like uncle Leo falls on a table and breaks it, or Aunt Stella spills red wine on our white tablecloths, or a bad storm damages a tent, don’t sweat it. When you opt in to the EPP, you pay 10% of the total amount of the rental items, and receive protection from any accidental damage.

Please note that the EPP does not cover theft or damage due to neglect, abuse, or malicious destruction of rental items, only accidental damage. If you opt out of the EPP, then a refundable security deposit of $250 or 25% of the total invoice amount, whichever is greater, will be due at the time of reservation. Please review our rental agreement for details. All orders automatically have our Equipment Protection Plan added, clients must specifically request to have it removed and pay the security deposit instead.

Utility Marking

Tent Installation Site Visit

Not sure if the tent you want will fit, or have other concerns about a tent installation? No problem, just ask us for a site visit and we’ll schedule a 30-minute session to visit your tent installation location to make sure everything will be a-ok. We’ll measure and mark out the space where the tent will go, check for ground levelness and vertical clearance, and chat with you about any other questions or concerns you may have.

Pre-reservation site visits are $80 payable in advance, but if you choose to move forward with us, half of that cost will be applied as a discount on your invoice. For larger events that include the Event Consultation package, the entire fee will be credited back to you since a site visit is included in the Consultation package.

Please note that all events requesting a 30-wide or 40-wide pole tent are required to have a site visit prior to your event date.

Event Consultation Package

$249

Larger events often require additional services in order to ensure your event’s success. To that end, we’ve bundled several of our services together into one package to make absolutely sure everything goes off without a hitch. Our consultation package includes a pre-event site visit by one of our owners, a custom CAD floorplan drawing of your tent(s), scheduling of underground utility marking services, and up to 90 minutes of meeting/consultation time.

This package is automatically charged to any tent rental greater than 1200 sq/ft.

Stake repair in asphalt

Asphalt Patching Service

$10 per stake

Renting a tent that will be staked into an asphalt surface? If so, and you need the surface repaired after your event, we’re happy to fill and repair the stake holes with asphalt cold patch. You’ll hardly see the repairs when we’re done. Price for patching is per stake hole.

Tell the world about us and get cash back! Allow us to leave a yard sign up for the duration of your tent install to let your guests and neighbors know about us, and receive a $50 discount.

Cash payment

Cash/Check/Zelle Payment Discount

We are pleased to offer a 3% discount on your final invoice when you pay via cash, check, or Zelle. A debit or credit card is still required for your deposit. Cash, check, & Zelle payments are only accepted when paying your final invoice. Check payments must be made at least a week before the due date to have time to clear. Cash payments must be made in-person and in-advance, exact change only please.

Early Bird Discount

5%

Early planners who book their event early can save! Our slow season is January – March which makes that the perfect time to contact us and book your upcoming event. When you book your event before April 1 and you’re the first event booked for a particular weekend, we’ll throw in a 5% discount for you to sweeten the deal and get you on our schedule early!

Keep in mind, super-popular dates in late spring and early fall can often book up very early, sometimes even a year in advance. So don’t wait!

Please note that the maximum early bird discount we can offer is $150.
